Registration Information
Information about each area of participation is shown on this page. Parade entries, vendors and other participants may request a registration application via email using the CONTACT FORM on this website. Preferred method of form submission is by email attachment on or before July 1. If you do not have access to email, please print, sign and mail your completed form to Athena Caledonian Games, PO Box 161, Athena, OR 97813 no later than June 25. By registering, you attest that you have read and accept the Athena Caledonian Participation Agreement and Statements of Understanding shown below (also included on the form).
PARTICIPATION AGREEMENT AND STATEMENTS OF UNDERSTANDING
I, intending for myself, my heirs, executors, administrators and/or assigns to be legally bound, assume all risks of any injury to my person or property and waive and release any and all rights and claims for damages I may have against the members, officers, volunteers and sponsors of Athena Caledonian Games Association and/or the agencies, agents, employees, officers and sponsors of the City of Athena for any and all injuries and damages suffered to me or my property in, or arising out of, this event or during any transit to and from this event.
Further, I hereby agree to hold harmless, indemnify and defend the agencies, agents, employees, members, officers, volunteers and sponsors of Athena Caledonian Games Association, the City of Athena, and the Weston-Athena School District from any claims of third parties arising out of my participation in this event or during transit to and from this event.

I understand that acceptance of my application is not guaranteed. The form must be completed as instructed and submitted by the stated deadline to be considered for acceptance.

I understand I must supply valid email, text and telephone information as available so festival organizers can contact me regarding my application and my participation in the parade. Festival organizers agree that sharing of my name and contact information with outside groups is in no way authorized.

I understand that because I am a guest on properties owned by the City of Athena and Athena-Weston School District during the parade and/or festival, no fireworks, flames, illegal substances, intoxicants, recreational or illegal drugs, or illegal weapons are to be used or carried by any festival or parade participant.

I understand that I am responsible to provide adequate liability insurance, certifications and county permits that may be required for my property and all individuals, animals and/or vehicles involved in my booth, demonstration, performance, or parade entry.

PARADE ENTRIES: I understand that, in accordance with parade insurance rules, throwing candy from my entry during the parade is not acceptable. Walkers accompanying my entry may hand candy to children along the parade route.
PARADE: Registration is free. Though we prefer you preregister so we'll know you are coming, last-minute entries are allowed to follow the preregistered entries. To reach the parade staging area in the high school parking from Highway 11, take the Highway 334 exit or the Wildhorse Road exit to Highway 334 (Main Street). Staging begins at 7:30 AM. Parade begins at 9:00 AM.
VENDORS: SALES BOOTHS (in food court and park) will be measured on site after set-up and assessed a 50 cents/sq. ft. vendor fee. Scottish/Celtic decor, items, and/or product names will reduce the base fee to 40 cents/sq. ft. Tables, racks, totes and other personal items that extend beyond a basic 10 x 10 space will increase the fee amount to be paid. Space is allotted on a first-come-first-served basis. NON-SALES GROUPS & REPRESENTATIVES (Clan tents, nonprofits, demonstration booths and reunion groups) are not subject to the vendor fee and will be limited to a 10'x10' space if located within the designated vendor area. Check-in times are Friday evening (6:00-7:30 PM) and Saturday morning (7:00 - 8:30 AM). A festival host must check you in before you begin setting up your booth.
Food Court Vendors: The Food Court is on the corner of South Fifth Street and Park Lane, across the street from the athletic field. Enter Athena at the blinking light nearest Milton-Freewater and turn left on Fifth Street after the high school tennis courts. If space allows, your booth fee will cover a small condiments/utensils table and/or limited seating near your booth/vehicle for the convenience of your clientele. Caledonian will provide two tables with seating under the tree near the end of the foot bridge leading to the park, with more seating available near the pavilion just inside the park. All food court vendors are required to have a permit issued by Umatilla County Health Department (541-278-6394).
Park Booths: Clan Tents, Demonstration Booths, Reunion Groups, Nonprofits and Merchandise Vendors: Designated set-up areas are inside the park. Enter the park through the Third Street gate and stay on the paved path for unloading and reloading unless directed by a festival host. Vehicles must be parked outside the park during the day unless your booth operates out of a self-propelled vehicle. By request of the City of Athena, DO NOT DRIVE ON THE GRASS unless a festival official guides you! Avoid driving over orange cones and flags, which mark the location of underground sprinklers.
NOTE: Overnight security is not provided.
Participants assume all responsibility for damaged, lost, or stolen items.
ATHLETES: Please register and pay your entry fee online through EventBrite. (Click on the red button below.) If field capacity is not reached during online registration, field registration at the football field on South Fifth Street will open after 10:30 AM. The competition begins at noon. Depending on the number of entries, the competition may continue into the evening. Judging will be done by members of the Scottish American Athletic Association. On-site camping and restroom/shower facilities for athletes and their families may be available. A donation of $10 per night or $15 for both nights is suggested if you camp on the school grounds. These donations may be submitted at the Information Booth in the park or given to a festival official.
PLEASE NOTE: The Caledonian Weekend Vehicle Show takes place on Main Street on the afternoon of Caledonian Day but is not part of the Caledonian Games and requires its own registration form. The vehicle show's Facebook page presents all the information you need to know to register and participate. All types of vehicles are welcome. Check-in begins following the Caledonian Parade. Follow the signs to the vehicle show staging area on Main Street. If you wish to enter your vehicle in the Caledonian Parade, please complete and submit a Caledonian Parade registration form.
